Acceptance guarantee

When an official body asks you for a translation, what counts is whether they accept it. The acceptance guarantee sets out what we do if a body rejects ours, so you know where you stand when you submit your document.

Does the acceptance guarantee mean my translation will definitely be accepted?

A sworn translation by a translator registered in the Rbtv is legally valid (Wbtv). Should a requesting body such as the IND, a municipality (gemeente), a court or a university reject it anyway, our acceptance guarantee applies. If a body rejects a translation in writing for a reason that lies with the translation, we correct it free of charge within 3 working days. If the corrected translation is rejected in writing again, we refund the translation fee under the conditions of the acceptance guarantee (apostille, extra copies and the rush surcharge are excluded).

What do I do if the authority questions my translation?

Send us the comments you received from the requesting body. After we verify the rejection, a sworn translator makes the correction needed and reissues the signed and stamped translation at no charge, within 3 working days. You then submit it to the authority again. The guarantee covers rejections that lie with the translation, so the correction itself costs you nothing.

This covers the quality and accuracy of the translation itself. It does not cover a different document than the one you supplied, a change of requirements after delivery, or a refusal that has nothing to do with the translation, such as a missing apostille or an incomplete application. If an apostille or legalisation turns out to be needed, we can arrange that as a separate step. An apostille is €99 per document (optional, all-in: court fee and court application included).

Does the acceptance guarantee include a refund?

Yes, under conditions. We correct the translation first, free of charge. If the corrected translation is rejected in writing again by the same body, we refund the translation fee under the conditions of the acceptance guarantee. Apostille, extra copies and the rush surcharge are excluded from the refund.

1. What the acceptance guarantee means

Every sworn translation we deliver is produced by a translator listed in the Register of Sworn Interpreters and Translators (Rbtv), which Bureau Wbtv maintains. That registration is what gives the translation its legal standing, and it is the first thing a requesting authority checks. Because we only assign Rbtv-registered translators for the relevant language pair, the translation is legally valid (Wbtv) before it reaches you.

The guarantee puts that in writing. If a body rejects a translation in writing for a reason that lies with the translation, we correct it at no cost to you, within 3 working days. You do not pay a second time for the correction, and you do not have to start over with another provider.

2. Which bodies the guarantee covers

The same standard applies across the Dutch authorities you are most likely to deal with, even though each one asks for different documents. A sworn translation by an Rbtv-registered translator is the version they ask for.

  • The Immigration and Naturalisation Service (IND), for residence permits, MVV applications and naturalisation, where foreign-language documents must be translated by a sworn translator into Dutch, English, French or German.
  • Municipalities (gemeenten) and Burgerzaken, for registering a foreign birth or marriage certificate.
  • Dutch courts (De Rechtspraak) and civil-law notaries, which apply the sworn-translation standard to the documents they handle.
  • Universities and DUO, when a foreign diploma or transcript is assessed.

3. What happens if a translation is questioned

This is rare, but if the authority that requested the translation rejects it in writing, send us the written rejection and we handle it. We verify the rejection, and a sworn translator corrects the translation where needed and reissues the signed and stamped document within 3 working days. The correction costs you nothing. You then submit the corrected translation to the authority again.

4. What the guarantee covers

If the corrected translation is rejected in writing again by the same body, we refund the translation fee. This happens under the conditions of the acceptance guarantee, and the apostille, extra copies and the rush surcharge are excluded. We correct the work first, because that is what gets your document through.

It also means you can order knowing what you will pay. The base price covers the translation, the sworn statement, the official stamp and our acceptance guarantee. Prices start from €44 for the first page for Dutch ↔ English and Dutch ↔ French, and from €64 for the first page for other languages. A digital copy (PDF by email) is an optional add-on for €9.95. Registered shipping within the Netherlands is €9.95, free from €299 (subtotal, Netherlands only). Standard delivery is 5-7 working days. Need it faster? Express (2-3 working days, +50%, minimum €55) and same-day (shipped within 24 hours, +100%, minimum €75, Dutch ↔ English/French only, ordered before 12:00 on a working day) are available as options in the order form.

Frequently asked questions

Does the acceptance guarantee mean my translation will definitely be accepted?

If a body rejects it in writing for a reason that lies with the translation, we correct it free of charge within 3 working days, and refund the translation fee under the conditions of the guarantee if the corrected translation is rejected again.

Which authorities does the guarantee apply to?

It applies to the Dutch authorities that commonly request sworn translations: the IND for residence and naturalisation procedures, municipalities (gemeenten) and Burgerzaken, Dutch courts and civil-law notaries, and universities or DUO for diploma recognition. We prepare the translation to meet the requirement each of these bodies sets, and the guarantee applies if one of them rejects it for a reason that lies with the translation.

Does the guarantee cover an apostille or legalisation?

The acceptance guarantee covers the quality of the sworn translation. An apostille or legalisation is a separate certificate that confirms a document's authenticity for use abroad, and whether you need one depends on the destination country. When it is required, we can arrange an apostille for €99 per document (optional, all-in: court fee and court application included) alongside the translation.
